- First, determine if you are expected to run the meeting or participate in any fashion. If you are in charge of arranging the meeting, make sure to arrange the scheduling beforehand, and be ready to manage the pace of the meeting once it starts.
- Set a personal goal for the meeting. It could be as simple as being attentive and taking good notes, or as complex as bringing a critical investor aboard to finance a new project for your company.
- Especially if you are dealing with representatives of another group outside of your organization, do any necessary research a few days beforehand so that you will be ready to both ask relevant questions and field any that may come your way.
- Make arrangements for a meeting room, conference call or online meeting. Ensure that the time the meeting is planned for works for all key participants, and check with each of the participants to guarantee that the time scheduled works for them.
- Once schedules are locked in, send out the time and location to all participants. Email conference call-in numbers and codes if the meeting will be conducted by phone.
- Prepare any needed equipment, such as a laptop or projector if you are making a presentation. All the necessary equipment should be in the meeting room long before the actual meeting.
- Finally, remind all of the participants of the meeting either the night before or the morning of the meeting by speaking to them personally or sending out a reminder email. Do your best to start the meeting at the appointed time.
